When Does Your Business Need an AI Agent?

An AI agent is worth assessing when a recurring task needs interpretation as well as actions across tools. A fixed rule may be better served by ordinary automation. Start with one bounded workflow, representative examples and a clear way for people to check whether the output is useful.

“We should use AI” is not a useful specification. “Our team repeatedly reads this information, prepares this output and copies it into these systems” is a much better starting point.

I develop AI agents alongside my application work. For a new project, the important question is which part of your working day you want to improve.

Describe the task before choosing the technology

Write down what triggers the task, what information arrives, what the person currently does and what counts as a useful result. Identify the tools involved and the information that must remain available to a reviewer.

A small example can reveal more than a broad feature list. Include an ordinary case, one with missing information and one where the right next step is to ask a person.

Would an ordinary automation be enough?

If the task follows fixed rules, straightforward application logic may be easier to operate and test. Copying a known field between two supported systems does not automatically need a language model.

An AI step becomes relevant when the work involves interpreting varied text, preparing a draft or choosing among bounded options using context. The surrounding workflow still needs ordinary software: validation, permissions, integrations and error handling.

Decide what the agent may do

Separate preparing information from acting on it. A first version might prepare a structured draft for a colleague to approve. More automatic steps can be considered when the behaviour is understood and the consequences are appropriate.

List the connected tools and confirm that suitable access exists. An agent cannot be assumed to work with an application simply because a person can use it in a browser.

Define a useful result

Agree how the output will be checked. For a document task, that might include retaining the source material, identifying missing fields and producing a consistent format. For a connected workflow, it may include handling an unavailable service without repeating an action accidentally.

Measure the actual process before promising a saving. Time spent correcting output, reviewing uncertain cases and maintaining integrations belongs in the assessment alongside time saved.

Include operation in the scope

Discuss model or API usage, hosting, access management and maintenance. An initial prototype and an everyday team tool have different requirements. Someone needs to know how to see failures, change access and request an update.

Keep the first version small enough to evaluate. One useful workflow is a better basis for expansion than an agent described as capable of doing everything.

What should you send a developer?

Describe the recurring task, the tools you use and an example of the output you want. Sample or anonymized information is enough for an initial discussion. Add the steps where a person should remain involved.

My AI agent development service starts with that workflow discussion and a quote based on the agreed scope. Tell me what takes time today and we can assess the right first version.
